UNFPA is seeking services for the “Provision of Merchandise and Print Services for the Day of 8 Billion”

The Day of 8 Billion is the date on which the world’s population will reach 8 billion - estimated to be on the 15th November 2022. UNFPA will be hosting an event promoting equitable development and celebrating the gains that have been made in removing people from poverty and improving access to healthcare and education.

This Request for Quotation is open to all legally-constituted companies that can provide the requested service and have legal capacity to deliver in the country, or through an authorized representative.

 Service Requirements/Terms of Reference (ToR)

3. Document printing (8 page, A4): 500 x 8 page A4 document in matte, 300 gsm paper. Design available 4 November. 

4. Magazine printing (30 page, A4) - 500 x 30 page A4 magazine in semi-gloss paper (150 gsm pending final artwork, available 4 November)

5. A2 document printing - 1100 pieces - 22 types x 50 A2 double-sided posters folded into quarters (to fold into an A4 size), semi-gloss. Design available 4 November.

6.  A1 Calendars - 100 x A1 laminated annual wall calendars. (1 page) Design available on October 28. 

7.  A3 Calendars - 500 x A3 cardboard yearly calendars. (1 page). Design available on October 28.

The deadline for submission of questions is 26 October 2022. Questions will be answered in writing and shared with all parties as soon as possible after this deadline.

 

Content of quotations

Price quotations should be submitted by e-mail or in-person before COB on 27 October 2022. Quotations must contain:

- Completed Price Quotation form.

Please note that following receipt of price quotations, UNFPA may request print samples to assist assessment of prospective vendors. 

 

Instructions for submission 

Quotations should be prepared based on the guidelines above, along with a properly filled out and signed price quotation form, are to be sent by e-mail or in-person to the contact person indicated below no later than: 27 October 2022, 5:00 pm PNG Time.

Please note the following guidelines for electronic submissions:

The following reference must be included in the email subject line: RFQ Nº UNFPA/PNG/RFQ/22/149. Proposals that do not contain the correct email subject line may be overlooked by the procurement officer and therefore not considered. 

The total e-mail size may not exceed 20 MB (including e-mail body, encoded attachments and headers). Where the technical details are in large electronic files, it is recommended that these be sent separately before the deadline. 

Vendors who provide a competitive Price Quotation Form will be invited to submit a sample of the printing for review. Vendors who are not able to provide a sample will not be considered.
